3. How We Use Your Personal Information

If we intend to use your personal information for a new purpose that is inconsistent with this Privacy Policy, or otherwise process your information beyond what is reasonably necessary, we will provide additional notice and, where required by law, obtain your separate consent.

  1. To provide core services such as account registration, login verification, identity recognition, team collaboration, plan management, service notifications, and customer support.
  2. To process your uploaded materials and provide AI clipping, caption generation, title suggestions, clip scoring, aspect ratio reformatting, export, distribution, and publishing functions.
  3. To maintain service stability and security, including troubleshooting, risk control, permission management, abuse prevention, anti-fraud measures, log auditing, and performance optimization.
  4. To process orders, subscriptions, credits, renewals, refunds, settlement, invoicing, and other transaction-related matters.

4. Cookies and Similar Technologies

We may use cookies, local storage, pixel tags, or similar technologies for purposes such as maintaining login sessions, remembering language preferences, conducting security verification, measuring service usage, and optimizing functionality.

You can manage, delete, or restrict some cookies through your browser settings. However, if you disable certain necessary cookies or local storage capabilities, login persistence, preference settings, payment flows, or some features of ShortMind may not function properly.

  2. Preference cookies, which remember language, interface settings, and certain usage preferences.
  3. Analytics cookies, which help us understand usage patterns, assess performance, and improve the website experience.

5. How We Share, Entrust, or Disclose Personal Information

We do not sell your personal information to unrelated third parties. We only share, entrust, transfer, or disclose relevant information when it is necessary to provide our services, required by law, or otherwise authorized by you.

  1. Entrusted processing: We may engage cloud service, storage, content delivery, payment, customer support, analytics, security, or model service providers to process information within the agreed scope, and we require them to adopt appropriate confidentiality and security measures.
  2. Third-party platform integrations: When you actively connect or publish to third-party platforms, we may transmit relevant data to the extent necessary to provide the requested functionality.
  3. Corporate transactions: In the event of a merger, demerger, restructuring, asset transfer, or similar transaction, relevant information may be transferred as part of that transaction, but we will require the new recipient to continue to be bound by this Privacy Policy or equivalent protection obligations.
  4. Legal obligations: We may provide relevant information in accordance with applicable laws and regulations, or in response to legitimate requests from regulators, courts, administrative authorities, or for national security and public safety purposes.

6. AI Services, Uploaded Content, and Third-Party Personal Information

ShortMind's core features depend on videos, audio, subtitles, scripts, covers, and other materials that you upload, import, or synchronize. We process those materials to the extent necessary to provide clipping, recognition, scoring, packaging, export, and distribution functions.

If your uploaded content contains third-party personal information, voices, likenesses, account information, or other identifiable data, you are responsible for ensuring that you have obtained all necessary rights, permissions, and legal bases to upload, process, edit, generate, and distribute that content.

To provide the relevant features, we may rely on our own models or third-party AI, cloud computing, and content processing capabilities. Unless required by law, necessary to provide a feature you actively choose, or otherwise separately authorized by you, we will not use your uploaded content for public display or for purposes unrelated to providing the current services to you.

7. Retention Period and Cross-Border Transfers

We retain your personal information only for the shortest period necessary to achieve the purposes described in this Privacy Policy, unless a longer retention period is required by law or is necessary to resolve disputes, perform obligations, or maintain transaction security.

Once the retention period expires or the processing purpose has been achieved, we will delete or anonymize the relevant information in accordance with applicable law. Where immediate deletion is technically difficult, we will stop processing the data except for storage and necessary security measures.

Due to the practical needs of cloud infrastructure, content delivery, platform integrations, and model services, your personal information may be stored within mainland China and, where legally compliant, may also be transferred to countries or regions outside mainland China. If cross-border transfer of personal information is involved, we will take the necessary compliance measures required by applicable law and, where legally required, provide notice to you or obtain your separate consent.

If you are located outside mainland China, you understand that your personal information may be transferred to servers or service providers outside your jurisdiction. We will use reasonable protective measures, but data protection rules may vary across jurisdictions.

8. How We Protect Your Personal Information

Although we will make reasonable efforts to protect your personal information, no internet transmission or information system can be guaranteed to be absolutely secure. Please protect your account, password, access tokens, and devices, and avoid uploading or sharing sensitive information in untrusted environments.

  1. We adopt reasonable security measures such as access controls, permission segregation, encryption in transit, storage protection, log auditing, and backup and recovery processes.
  2. We apply tiered authorization controls to employees, partners, and processors based on business need, and require them to undertake confidentiality obligations.
  3. If a personal information security incident occurs or may occur, we will take remedial measures in accordance with applicable law and, where necessary, notify competent authorities and affected individuals.
